Position: Administration Assistant, projects in Xe Sap NPA
Location: Salavan Province.

The Administrative Assistant is based in Salavan Province, he/she provides assistance in various aspects of administration, logistics, procurement, and support implementation of the projects in the Xe Sap National Protected Area (NPA). He/she ensures compliance with the operations systems, policies, and procedures of WWF-Laos. His specific role is to support projects administration, logistics, procurement, and other tasks as required by the line manager in the course of project activity implementation in the landscape.
Key Responsibilities:
- Support all aspects of projects office administration and logistics; manage office properties, monitor use, ensure maintenance schedule is followed, and conduct annual inventory check and record and/or upon required by the country office;
- Ensure office safety and security through regular checking and reporting;
- Manage project vehicles; ensure accurate logbook record and timely report submission to country office and/or upon required by the country office; keep regular monitoring of the vehicle status and maintain up-to-date contracts with a trusted supplier and ensure proper record;
- Support project(s) procurement in compliance with procurement policy and procedure;
- Provide training to staff including government partners and stakeholders to help them understand the related policy and procedures on administration, assets management, logistics, etc. when required;
- Support liaison between the project office, partners, and other stakeholders;
- In cooperation with project staff and Government partners support to organize meetings, workshops, study tours, and training courses and facilitate workshops, discussions, and consultations with communities and stakeholders;
- Build and maintain networks and partnerships in the southern provinces with Government local authorities and technical agencies as well as local communities;
- Provide input to communication products and campaigns when required to ensure accurate information is published about WWF activities;
- Provide other operational and technical support to the Site Coordinator as required.
Required Qualifications:
- Bachelor's degree or diploma in administration, business management, English, or in other relevant fields.
- Qualification in Project Management is an asset.
Required Skills and competencies:
- 3 years of practical experience as an administration or accountant or in related fields either with NGOs or bilateral development agencies;
- Good team player, service-minded;
- Good communication and negotiation skills;
- Good in written and spoken English and Lao languages;
- Striving to develop a sense of team with colleagues;
- Proven ability to work under minimum supervision and take initiative while keeping in check all relevant regulations and organization’s policies;
- Willing to learn and continue to learn;
- Excellent command of written and spoken the Lao language;
- Good command of the English language.
WWF-Laos can offer you an initial 1 year with a possible extension contract. Please note the compensation package will be aligned with local salary and benefits conditions, in line with our reward policy.
